Team Registration
Registration opens on August 26, 2024. Please understand that to be accepted, you must register through Advanced Events Systems and complete payment.
Refunds Policy: Full refund prior to registration deadline. No refund after registration close date. Teams accepting a bid prior to regionals receive a full refund.

Team Check In
All teams must check in online prior to their first match. There will be no on-site check-in and no paper copies will be accepted at the event. Roster changes cannot be made after confirming online check in. If a roster change is needed, email lonestarregionals@gmail.com to request a check in reset, and then complete the online check in process again.

Coaches Tickets
Coaches will receive their electronic ticket the week of the event via Sport Wrench Ticket Guru. The electronic ticket must be shown along with ID in order to be granted admission into the venue. No exceptions. Club directors will be providing the event cell phone #s and email address on the roster in order to send electronic tickets.

Housing will be provided based on double occupancy to officials that work both days and travel greater than 50 miles.

Region Process: Bid vs Non Bid
Schedules
Schedules & results will be posted on Advanced Event Systems no later than the Wednesday prior to the event. If you see an error in results, please tell the tournament staff so that the scoresheet can be reviewed and the system can be corrected. Check back on Friday afternoon for any last minute changes.
Trainers
Trainers will be available at the GRB next to each tournament desk (Hall A, Hall D, and Hall A3) and at NRG Park.

Download the SW Express app to verify your ID within the app. This will allow you to enter in Express Entry. Otherwise, spectators will be required to show their electronic ticket along with corresponding picture ID to obtain entry EACH and EVERY time they are entering the hall. Pet Policy
Service animals are welcome in the venue. However, emotional support animals and pets are prohibited. A service animal is defined by the ADA as a dog that has been individually trained to do work or perform tasks for an individual with a disability. The tasks performed by the dog must be directly related to the person’s disability.

Tie Breaking
All ties will be broken using the USAV Qualifier Manual procedures. Please note that all tie breakers are 1 set to 15.
IT IS THE COACH’S RESPONSIBILITY TO KNOW IF A PLAYOFF WILL BE HELD FOR THEIR POOL. DO NOT LEAVE THE FACILITY UNTIL YOUR POOL IS COMPLETED AND FINISHES HAVE BEEN POSTED FOR THE POOL IN AES. WHEN IN DOUBT, STAY UNTIL THE POOL IS FINISHED AND POSTED IN AES. EVENT STAFF AND OFFICIALS HAVE BEEN INSTRUCTED NOT TO ANSWER HYPOTHETICAL QUESTIONS TO AVOID PROVIDING INACCURATE INFORMATION.
- The tournament will determine if a tie breaker set is needed.
- Teams are seeded and the tie breaker set(s) is/are scheduled on the grid in AES.
- The score sheet is printed, and a member of staff pages the teams involved in the tie breaker by announcing the teams and court number.
- The assigned referee takes the score sheet to the court to begin warm up.
- If any of the three involved teams are missing, the referee does the coin toss and starts the warm-up protocol (the coin toss is considered the start of the “10-minute clock”) and notifies a head referee if one or more teams are not present.
- If one or more teams are still missing at the end of 10 minutes, the head referee in conjunction with tournament staff determines if a tie breaker is still needed based on the number of teams missing and the number of tie breaker sets originally needed.

Tournament t-shirts and vendors will be in the main entrance at Halls B and in Hall A3 for your shopping pleasure! There are no T-shirt pre-sales.

Any team traveling further than 60 miles must secure a minimum number of rooms through EM2 Housing. Rooms booked directly through hotels will not apply.

If you do not see enough rooms available for your team, or your preferred hotel is sold out, please contact EM2 Housing for assistance immediately. Venue
Policies
The main sites will be the George R Brown Convention Center and NRG Park – Arena Hall D.
15 Select will play at NRG on Saturday morning with a 9am start time.
16 Premier, 16 Club or 16 Classic may play at NRG on Sunday.
Boys will play at NRG all day Saturday.
Venue Policies:
The following are not allowed at any event venues:
- Personal Seats and chairs
- Wagons or Coolers
- Insulated bags (backpack size and larger)
- Weapons
- Recreational personal transportation devices (i.e. hover boards, skateboards, etc.)
- Outside food
- All tobacco products – including e-Cigarettes and vaping products
- Alcoholic beverages
- Loud noise makers including boom boxes
- Balloons
- Animals (exception: service dogs are welcome)
- Other items as determined by the staff
Parking
Parking is available in various paid parking lots near the GRB as well as under Discovery Green Park directly across from the Convention Center. There is a new parking garage located near the Hall A side of the GRB. NO PARKING IN THE BACK OF THE CONVENTION CENTER – there is NO ENTRY from that side of the building. You will have to walk around the convention center if you park behind the loading docks. There is no entrance in the back. Parking Meters downtown are NOT free on Saturdays. Prices vary, but most lots are between $10-$40 per day. Downtown parking lot attendants will be wearing a yellow vest with a badge.
The downtown Polk exit is the way almost all mapping technology guides drivers…. this is not the only way to get to the GRB. Although we will have officers working in that area to help the flow of traffic and pedestrians, we recommend to look up other ways to navigate in order to relieve the congestion in that area.
NRG Parking is on site and will be $25 per day. There are NO In/Out privileges.
